Welcome to Teacher Buddy ("we," "our," or "us"). We are committed to protecting the privacy of our users, particularly teachers, and the students whose records they manage. This Privacy Policy describes how we collect, use, store, and share information when you use our mobile application, Teacher Buddy (the "App"), including our Google Drive backup feature.


1. Executive Summary: Offline-First and User Ownership

  • Local-First Storage: Teacher Buddy is designed as an offline-first, local-first utility tool. By default, all data you enter (student details, attendance, behavior, grades, fee records, and photos) is stored securely on your device's local storage using an Isar database.
  • No Developer Access: We do not own, operate, or maintain any external servers that collect or store your student data. We cannot access, read, or modify the classroom records you enter into the App.
  • Google Drive Backup: If you choose to enable the Google Drive backup feature, the App will upload a zipped backup of your local database and image assets directly to your personal Google Drive account. This file goes directly from your device to Google’s servers; it never passes through or is stored on any server owned or controlled by us.

2. Information We Collect and Process

Because all data is stored locally, the following information is processed on your device:

A. Classroom and Student Data (User-Generated Content)

  • Student Profiles: Student names, roll numbers, and parent/guardian contact details.
  • Student Photos: Images of students uploaded or taken via your device's camera.
  • Attendance Logs: Records of attendance (present, absent, late, excused).
  • Behavior Records: Performance notes, behavioral ratings, and observations.
  • Academic Records: Homework tracking, exam schedules, and grades.
  • Library Logs: Records of library book checkouts and return statuses.

B. Financial Tracking Data (Ledger Records)

  • Fee Records: Logs of student fee types, amounts due, amounts paid, payment dates, and payment history.
  • Note: Teacher Buddy does not process credit cards, bank accounts, or digital payments. All financial tracking is purely a manual bookkeeping/ledger feature.

C. Google Account and Drive Integration Data

  • Google Sign-In Account Info: When you connect your Google Account for backups, we temporarily access your Google account email and authentication token via OAuth. This is used solely to authenticate your session with Google Drive.
  • Google Drive Backups: We create a directory in your Google Drive named Teacher Buddy Backups and upload backup files (ZIP archives containing the database and student images). We read, list, delete, and download files only within this app-created directory.

3. How We Use the Information

We use the information we process solely to provide the core services of the App:

  • To maintain your student, classroom, attendance, academic, behavior, and ledger records locally.
  • To perform manual or daily automated backups of your database to your local downloads folder or your personal Google Drive.
  • To restore your app data from a previously created local or Google Drive backup file when you instruct the App to do so.

4. Google API Services User Data Policy Compliance (Limited Use Disclosure)

Teacher Buddy’s integration with Google Drive uses the restricted-intent scope https://www.googleapis.com/auth/drive.file. This scope permits the App to only view, modify, and delete files and folders that were created or explicitly opened by this App (specifically, the Teacher Buddy Backups folder and the backup ZIP files inside it).

[!IMPORTANT] Limited Use Disclosure: Teacher Buddy's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not use Google Drive API data for serving advertisements, transferring data to third-party networks, or selling data. The data obtained is strictly used to upload, list, download, and delete the backup ZIP files created by the App at your explicit request.


5. Sharing and Disclosure of Information

  • No Third-Party Sharing: We do not sell, rent, or share your data or your students’ data with any third parties, advertising networks, or analytics partners.
  • Personal Cloud Storage: The Google Drive backup files are stored in your own Google Drive account. Your backup files are subject to Google’s Privacy Policy, which you can review here.
  • Local Sharing (User Action): If you use the manual "Create Backup" feature, you may choose to share the generated ZIP backup file via your device's native share sheet (e.g., via email, WhatsApp, or other sharing apps). This action is entirely controlled and initiated by you.

6. Data Security

  • Local Encryption & Sandboxing: On your mobile device, the app database is kept within the App’s private sandbox, protected by standard operating system security controls.
  • Encryption in Transit: When you upload backups to Google Drive, the data is transmitted securely using Hypertext Transfer Protocol Secure (HTTPS) encryption.

7. Data Retention and Deletion

  • Local Data Deletion: You can delete all locally stored data at any time by clearing the App's cache/data in your device settings or by uninstalling the App.
  • Google Drive Backup Deletion: You can delete your backups at any time. To do this, you can:
    1. Use the "Link Google Drive" settings in the App to list and delete older backups.
    2. Log into your Google Drive account in a web browser or the Google Drive app, navigate to the Teacher Buddy Backups folder, and permanently delete it.
  • Retention Policy: The App automatically maintains a retention policy, keeping only the last 5 backups on your Google Drive to prevent clutter and conserve your storage space.

8. Children’s Privacy (COPPA Compliance)

Teacher Buddy is designed for use by teachers, educators, and school administrators (adults over the age of 18). While the App tracks student information (which may include children under 13), the App does not collect student information directly from children. All student data is inputted manually by the educator, who is responsible for obtaining any necessary school, district, or parental consent in accordance with local regulations (such as COPPA in the United States or GDPR in Europe).


9. Changes to this Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy inside the App's documentation or updating the "Last Updated" date at the top of this policy.
